Set up and use StockEven

Everything from installing the plugin to fixing a product that can't sync.

Requirements

  • WordPress 6.4 or newer and WooCommerce 8.0 or newer (HPOS on or off).
  • PHP 7.4 or newer.
  • A Square seller account with at least one location.
  • The site reachable over HTTPS from the internet, so StockEven can deliver changes from Square.
  • SKUs on the products that should sync, the same in Square and WooCommerce.

Install the plugin

  1. Download stockeven-connector.zip.
  2. In WordPress open Plugins → Add New Plugin → Upload Plugin, choose the file and click Install Now, then Activate.
  3. Open WooCommerce → StockEven. A short guided setup starts.

Connect Square

Click Connect Square and sign in to the Square account that holds the store's items. Square shows the access StockEven asks for:

  • read the business profile, items and locations;
  • read and update inventory;
  • read orders, so sales and refunds are labelled correctly.

After Allow, Square returns to WordPress and the setup continues. StockEven never sees the Square password.

Choose the location

Online orders take stock from one Square location. With a single location it is selected automatically; with several, the setup asks which one sells online. The location can be changed later under the gear menu → Square location. Changing it asks again which stock is correct for each product.

Match products

StockEven matches each Square item variation with the WooCommerce product or variation that has the same SKU. Matching ignores letter case and spaces around the SKU.

  • Same stock on both sides: linked and syncing right away.
  • Different stock: waits for a decision (next section).
  • Only in Square: no WooCommerce product has that SKU yet. Adding the SKU in WooCommerce and choosing Match products again links it.

Different stock

For each product with different numbers, choose Square or WooCommerce. The other side is set to the chosen number and syncing starts. Keep in-store numbers for all applies Square's numbers to the whole list at once.

Tip: when the shop counts stock regularly in Square, Square is usually the correct side.

Products that can't sync

Each product in Can't sync shows the reason and the fix. After fixing, click Check again.

Running the official Square for WooCommerce plugin

If the official WooCommerce Square extension is installed for payments, turn off its inventory sync so stock is not changed twice: in WooCommerce → Settings → Square, turn off Sync inventory between WooCommerce and Square. Payments keep working. Labels can differ slightly between versions of that extension. More in running both together.

How syncing works

  • Square → WooCommerce: Square notifies StockEven within seconds of a change; StockEven reads the change, including its reason (sale, refund, delivery, recount), and applies it to the store.
  • WooCommerce → Square: the plugin records each stock change after it happens and sends it in the background, never during checkout.
  • No echo: changes made by StockEven are not sent back. Each change carries a unique key, so a retry can't apply it twice.
  • Hourly check: both sides are compared every hour; any difference is corrected from the side chosen for that product.
  • Outages: when either side is unreachable, changes wait in a queue and are delivered when it's back.

Email alerts

Gear menu → Email alerts. StockEven sends one summary at most once a day, only when sync is paused or products need attention. The address defaults to the site admin email.

Plans and billing

Gear menu → Plan & billing shows the current plan, the number of products syncing and the renewal date. Upgrades open Stripe Checkout; plan changes, cancellation, invoices and payment methods are managed on the same screen. See pricing and the refunds policy.

Disconnect and uninstall

  • Disconnect: gear menu → Disconnect Square. Syncing stops and Square access is removed. Reconnecting starts the guided setup again.
  • Deactivate: syncing pauses; changes from Square wait and are delivered after reactivation.
  • Uninstall: removes the plugin's tables and settings and disconnects the store.

Troubleshooting

The top bar says “Sync paused”

Square access was removed or needs renewing. Open StockEven and click Reconnect Square. No changes are lost.

A product shows different numbers after a while

Changes made outside WooCommerce (for example a direct database import) are not seen until the hourly check. The check corrects them from the chosen side.

“StockEven service unreachable”

The site couldn't reach the StockEven service. Check that outgoing HTTPS connections are allowed by the host or a security plugin. Syncing resumes automatically.

New products don't appear

Give the product the same SKU in both systems, then use gear menu → Match products again.
